What is When2Sync?

When2Sync is a free group availability scheduler and a modern When2Meet alternative and Doodle replacement that requires no account from anyone - not the organiser, not the participants. You create an event, share the link, and everyone marks when they're free on a time grid. A colour-coded heatmap shows the best meeting time at a glance.

Ideal for teams scheduling recurring standups, clubs coordinating across member schedules, and families planning gatherings across time differences. Participants can optionally set a password to protect their entry - useful when filling in from multiple devices.

Not every plan needs a time. Parties, birthdays, group dinners, weekends away and trips are settled by agreeing a date - so switch the form above to Find a day, or start from Plan by Day. You open a window of up to six months, and everyone marks each date Free or Maybe on a calendar instead of a time grid. The Maybe is the point: nobody can honestly answer yes or no six months out, and a forced answer is a confident wrong one.
