1. Who We Are

When2Sync is a free group scheduling tool operated by L&L Interactive. For questions about this Privacy Policy, please contact us through our website at lnlinteractive.com.

2. What Information We Collect

Information you provide directly:

  • Event names - entered when creating a scheduling event.
  • Participant names - the name you choose to enter when joining an event. This is not verified and does not need to be your real name.
  • Availability selections - the time slots you mark as free on the scheduling grid.
  • Passwords - optional. If you set a password to protect your availability entry, it is stored as a one-way cryptographic hash. We cannot recover or read your password.

Information we do not collect:

  • Email addresses
  • Phone numbers
  • Payment information (When2Sync is free)
  • Location data
  • Account credentials (there are no user accounts)

Server logs: Our hosting provider's web server may automatically record standard access log data, including IP addresses, browser type, and pages accessed. This is standard infrastructure behaviour and is not used for tracking or marketing.

IP addresses for rate limiting: Your IP address is temporarily stored by the application to prevent abuse (rate limiting). These records are automatically purged within minutes and are not linked to your identity, event data, or availability entries.

3. How We Use Your Information

  • To create, store, and display events and availability data to event participants.
  • To verify passwords when participants edit their own availability entries.
  • To maintain and operate the When2Sync service.

We do not sell, rent, trade, or share your information with third parties for marketing or advertising purposes.

4. Third-Party Services

Google Fonts: When2Sync loads fonts from Google Fonts (fonts.googleapis.com). When your browser loads the site, it makes a request to Google's servers to retrieve font files. Google may log the IP address of this request in accordance with their own policies. See Google's Privacy Policy for details.

Hosting provider: When2Sync is hosted on servers in the United States (Dreamhost). Your event and availability data is stored on their servers. The hosting provider processes data on our behalf and is bound by appropriate data processing terms.

International data transfers: If you are located outside the United States, your data - including any information submitted through When2Sync - will be transferred to and stored on servers in the United States. Google Fonts requests are processed by Google's global infrastructure. By using When2Sync, you acknowledge this transfer.

5. Data Retention

Event data - including event names, participant names, and availability selections - is retained for approximately 90 days from the date of event creation, after which it is automatically deleted. Rate-limiting records (IP addresses) are purged automatically within minutes. If you would like your data removed sooner, please contact us through lnlinteractive.com with details of the event and we will action your request promptly.

6. Cookies

When2Sync does not set any cookies. Google states that the Google Fonts API does not set cookies; however, Google's servers receive your IP address when fonts are loaded. See Google's Privacy Policy for full details.

7. Your Privacy Rights

Depending on your location, you may have rights under applicable privacy laws, including:

  • Right of access - to request a copy of the personal data we hold about you.
  • Right to erasure - to request deletion of your data.
  • Right to rectification - to request correction of inaccurate data.
  • Right to object - to object to our processing of your data.
  • Right to data portability - to receive your data in a structured, commonly used, machine-readable format.

EU and EEA residents: our legal basis for processing scheduling data is legitimate interest in providing the service you have chosen to use. To exercise any of your rights, contact us at lnlinteractive.com.

You also have the right to lodge a complaint with the data protection supervisory authority in your country of residence if you believe your data has been handled unlawfully.

8. Children's Privacy

When2Sync is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has submitted personal information through our service, please contact us and we will remove it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. We encourage you to review this policy periodically. Continued use of When2Sync after changes are posted constitutes acceptance of the updated policy.
